1. Custom Development Work
This category covers any task requiring our development team to write, test, and deploy new code. This work involves a comprehensive, multi-step process to safeguard the stability and performance of your live platform.
Examples include:
- Custom feature development or modification.
- Changes to booking engine logic.
- API integration adjustments.
- Complex front-end changes.
Policy:
- Minimum Engagement: A minimum charge of 3 hours will apply to all custom development tasks.
- Applicable Rate: Our standard hourly rates will apply, as per your client agreement.
Why is there a 3-hour minimum?
A professional development process is critical to protect your business operations. Even the smallest code change involves a structured workflow that goes far beyond writing the code itself. This minimum engagement covers the full end-to-end process:
- Scoping & Briefing: A project manager defines the requirements with you and creates a technical brief for the developer.
- Development: The developer sets up a secure environment to perform the coding and initial tests.
- Quality Assurance (QA): The code is reviewed and rigorously tested by our QA team to identify any potential issues.
- Release Preparation: We prepare internal documentation and customer-facing release notes to keep you informed.
- Deployment & Scheduling: The update is scheduled and managed through a formal release process, first to a staging environment for your approval, and then to your live production website.
- Post-Deployment Warranty and Support: The minimum timeblock includes warranty and continued support around the platform feature and any potentially affected features. Note that larger projects may have their own additional support requirements, which will be discussed with you if required.
This structured approach guarantees that every change is delivered securely, reliably, and with full transparency.
2. Digital Services Work
This category includes tasks handled by our digital services team that do not require our full development and deployment cycle.
Examples include:
- Design and front-end styling
- Custom email templates (including multiple template workflow)
- Google Tag Manager (GTM) scripting and tag implementation.
- Google Analytics work, including generating custom analytics reports.
- Content updates (e.g., uploading new blog posts, changing page text or images).
- Configuration changes within the Carcloud Web, Carcloud B2B and Carcloud AI Agent platforms.
- Regular or ad-hoc vehicle updates.

Policy:
- Minimum Engagement: A minimum charge of 2 hours will apply to all digital services tasks. Our Growth plans feature a streamlined workflow that can reduce this to 1 hour.
- Applicable Rate: Our standard hourly rates will apply, as per your client agreement.
A Tip for Efficiency:
To get the best value, we recommend grouping multiple small requests into a single brief. This allows our team to address all your items within one block of work, making full use of the minimum engagement time.

- Request: When you submit a request, we will assess it and notify you if it falls under the minimum engagement policy.
- Approval: We will always seek your approval before commencing any billable work.
- Larger Projects: For any work estimated to exceed the minimums, we will provide a detailed scope and quotation for your approval as per our standard procedure.
